Veterans Motorsport Training Center | vetmotorsports.org
Effective Date: 10/7/2026
This Privacy Policy explains what personal information the Veterans Motorsport Training Center ("VMTC," "we," "us") collects, how we use and share it, and the choices you have. It applies to vetmotorsports.org, our online school, and our in-person training programs. VMTC is a Virginia nonstock corporation and a tax-exempt public charity under Section 501(c)(3).
1. Information We Collect
Information you give us.
-
Contact and account details: name, email, phone number, mailing address, date of birth, and login credentials.
-
Enrollment information: application answers, education and work background, program choices, emergency contact, and, where you apply for a discount or benefit, proof of veteran or service status (such as a DD-214 or military ID) or other eligibility information.
-
Payment information: billing details and payment history. Online course purchases are processed through the Thinkific platform and its payment partners, and card payments are handled by third-party payment processors. We do not store full card numbers.
-
Training records: attendance, assessments, grades, certificates, instructor notes, and incident or injury reports.
-
Waivers and consents: signed waivers, releases, and media consents.
-
Communications: messages you send us, survey responses, testimonials, and donation details.
Information collected automatically. When you use our website or online school, we collect device and browser type, IP address, pages viewed, time spent, referring pages, and login activity. We collect this through cookies and similar technologies (see Section 5).
Information from others. With your permission, we may receive information from funding sources (such as VA education benefit offices, workforce agencies, or grant sponsors), employers or partner organizations that refer or sponsor you, and host training sites.
Sensitive information. Some of what we collect is sensitive, including veteran or service status, and may include injury or accommodation information you tell us about. We collect only what we need and handle it with extra care. We do not need or ask for your Social Security number unless a funding source requires it for benefit processing, and we will tell you when that is the case.
2. How We Use Your Information
We use personal information to:
-
review applications, enroll students, and verify eligibility for priority placement or discounts;
-
deliver and manage training, online courses, assessments, and certificates;
-
process tuition and donations, and issue receipts and refunds;
-
keep students, instructors, and sites safe, including handling incidents and enforcing our rules;
-
communicate with you about your enrollment, schedules, and program updates;
-
report to funders, grantors, and approving agencies, and measure outcomes such as completion and job placement (usually in aggregate form);
-
improve our website, platform, and programs;
-
send news, events, and fundraising appeals, where you have not opted out; and
-
comply with legal obligations and protect VMTC's rights.
3. How We Share Information
We do not sell your personal information, and we do not rent or trade donor or student lists.
We share information only in these situations:
-
Training site partners. We share the information a host site needs to run your training and keep you safe, such as your name, schedule, emergency contact, and waiver status.
-
Service providers. Companies that help us operate, such as our online learning platform provider (Thinkific), website hosting, payment processing, email, data storage, and background or identity verification, may process information for us under agreements that limit their use of it.
-
Funding and approving agencies. If you use VA education benefits, a grant, a scholarship, or a sponsor, we share the information needed to process and verify your funding, such as enrollment status, attendance, and progress. We do this only as needed for that purpose.
-
Certification and accrediting bodies. If we register you for a third-party exam or certification, or an accreditor reviews our records, we share what is required for that.
-
Employers and apprenticeship partners. We share your resume, training record, or contact details with a prospective employer only with your permission.
-
Legal and safety reasons. We may disclose information to comply with law, respond to lawful requests, protect someone's safety, or defend against claims.
-
Organizational changes. If VMTC merges with or transfers its programs to another organization, information may transfer with them, and the Privacy Policy will continue to protect it.
-
With your consent. We share information in other ways when you ask or agree.
We may publish or share aggregated or de-identified information, such as enrollment and outcome statistics, that cannot reasonably be used to identify you.
4. Children and Young Adults
Our website and online school are not directed to children under 13, and we do not knowingly collect personal information from them. Some programs accept high school students and young adults under 18. For those students, we collect information with a parent or guardian's consent, and we direct communications about the student's enrollment to the student and the parent or guardian. If you believe a child under 13 has given us personal information, contact us and we will delete it.
5. Cookies and Similar Technologies
We use cookies and similar tools to keep you logged in, remember your settings, secure our platform, and understand how our website is used. You can control cookies through your browser settings, and you can block or delete them, although some features may not work properly if you do. We do not use your personal information for targeted advertising by third parties. If we use website analytics, they are used to understand overall site use and improve our services. We do not respond to browser "Do Not Track" signals because there is no uniform standard for them.
6. How We Protect Your Information
We use reasonable administrative, technical, and physical safeguards to protect personal information, including access limits based on need, encryption in transit, and secure storage with vetted service providers. Sensitive records, such as veteran status documents and incident reports, are accessible only to staff who need them for their role. No system is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and any required authorities as the law requires.
7. How Long We Keep Information
We keep personal information only as long as needed for the purposes in this policy, and as required by law, funding rules, or accreditation standards. As a general guide:
-
Training and completion records are kept long-term so we can verify certificates and credentials for you and for employers you authorize.
-
Financial and donation records are kept for the period tax and nonprofit regulations require.
-
Application records for people who do not enroll are kept for a limited period, usually no more than [two] years.
-
Website and technical logs are kept for a short period for security and troubleshooting.
When information is no longer needed, we delete it or de-identify it.
8. Your Choices and Rights
You may contact us at any time to:
-
access the personal information we hold about you and get a copy;
-
correct information that is inaccurate or incomplete;
-
delete your information, unless we must keep it for legal, funding, safety, or record-keeping reasons (for example, completion records and financial records);
-
opt out of newsletters, event invitations, and fundraising emails by using the unsubscribe link in any message or by emailing us (we will still send essential messages about your enrollment); and
-
withdraw consent you gave for things like sharing your information with employers or using your photo or story.
We honor reasonable requests from everyone, wherever you live. Residents of some states have additional privacy rights under their state's laws, and we will honor those rights where they apply. We may need to verify your identity before acting on a request, and we will respond within a reasonable time, generally within 45 days. If we cannot fulfill a request, we will explain why.
9. Links to Other Sites
Online-only courses are delivered through Thinkific, which has its own privacy policy that applies to its platform. Our website may also link to other sites, such as funding agencies, certification bodies, or partner organizations. We do not control those sites and are not responsible for their privacy practices. Please read their policies.
10. Changes to This Policy
We may update this Privacy Policy as our programs, sites, or the law change. We will post the updated version on vetmotorsports.org with a new Effective Date. If a change materially affects how we use information you have already given us, we will notify you directly, such as by email, before it takes effect.
